			<content:encoded><![CDATA[<p>Collin County is growing and with growth comes change. As they experienced a population influx of over 250,000 residents from 2000 to 2007 and a 253% increase in case filings they were strategically looking for ways to improve efficiency and customer service across the board.  That same year a committee, with members of several County offices, selected Laserfiche has their standard for information management. </p>
<p>Records Manager, Margaret Anderson, was impressed by Laserfiche’s scalability, ability to integrate with existing applications and it’s capability to manage retention of electronic documents.  While Caren Skipworth, CIO, saw it’s enterprise wide capabilities well suited for standardizing the management of the County’s information.   </p>
<p>This year at the Laserfiche Institute Conference, Caren Skipworth spoke about Collin County’s use of Laserfiche and discussed the Three Laws of Agile ECM. </p>

			<content:encoded><![CDATA[<p>The <a title="Deloris" href="http://www.ci.friendswood.tx.us/COF/news/default.htm?rel_id=15042">City of Friendswood </a>is saying goodbye to their City Secretary of 26 years this week, Mrs. Deloris McKenzie.  MCC &amp; MCCi have had the pleasure of working closely with Deloris for over 15 of those years. During this time, we have developed a great respect for Deloris through her hard work and dedication to the City. </p>
<p>Our relationship began in the early 1990’s as she set out to have the City’s ordinances codified and continually supplemented to make certain their Code was as accurate and up to date as possible.  As MCC launched its <a title="MuniCode " href="http://www.municode.com/Library/Library.aspx">online service </a>for Codes in 1994, Deloris was on board giving the City of Friendswood’s constituents a reliable source to research the City’s general and permanent legislation. </p>
<p>As advances in technology offered new and innovative ways of record keeping, she took a step forward and began working with MCCi, Municipal Code’s technology division.  The City of Friendswood worked with MCCi to image its official records and make them electronically searchable.   Steadily remaining at the forefront of technology, she saw that <a title="MCCi" href="http://www.mccinnovations.com/products/ElectronicRecordsManagement.asp">Laserfiche</a> was implemented in the City Secretary’s office, which was used to electronically maintain their official records. In 2008, the system was expanded giving her office the added ability of true electronic records management to manage the life cycle of records and make them available to the public via the web.</p>
<p>We are honored to have been a part of Deloris’s successes during her time with the City of Friendswood.  Our entire staff would like to commend Deloris on her years of service to the City and wish our dear friend well as she sets forth on her new adventure in life!</p>

			<content:encoded><![CDATA[<p>If you are scanning your records and managing them electronically you have probably already seen a lot of benefits for your organization.  You are saving storage space, staff time, and last but not least, money for your organization.  But are you auditing your records?  Auditing, what does this mean? </p>
<p>Most Document and Records Management systems have some sort of auditing capability.  It can help you figure out (in the event of an accidental deletion), who might have deleted these documents, but also can help monitor productivity in the system.  Any steps taken in the system can be monitored; who is scanning, what they scanned, what they deleted, what they changed, what they viewed, etc.  You can then take your data and produce reports to show how productive your users are, monitor the users of your system, and make changes as necessary to the security of your records.  Auditing ability also helps meet compliance with laws such as HIPPA, DoD certification (Records Management), Sarbanes-Oxley, USA Patriot Act, and more. </p>
<p>While all these points of auditing are great proactive measures, auditing capabilities are also very important in the event that you get audited.  It seems like every day in the media we are hearing about how some famous person had records stolen documenting a legal issue, medical issue, etc.  Anytime something like this happens, the organization that is getting accused of compromising their records will be audited.  So it is important not only to audit your records regularly, but also be prepared for an unexpected audit of your organization. </p>
<p> So now I ask you again, are you auditing your records?  If your answer is no, get auditing!</p>
